- General Security Tips
Global Protective Services (GPS) is the primary Cisco contact and escalation point for security processes incidents, requests or questions. GPS will continually monitor and assess the level of risk regarding the event. Based on this assessment, GPS may decide to implement a range of security processes which may have to be implemented at short/no notice. Wherever possible GPS will consult with the relevant event lead, venue management and contract security company prior to any implementation. When this is not possible (e.g. operational necessity), GPS will advise the relevant event lead(s) as soon as possible after implementation.
Security measures may include, but are not limited to; pre-screening of attendees, behavioral detection techniques, canine support, surveillance and search/screening/prohibition of personal property. All measures implemented will be undertaken in fair, appropriate and proportionate manner and in accordance with all relevant laws, Cisco policies and event terms and conditions.
Mark Eastus will be the initial point of contact for all event staff for issues relating to security. Emergencies / escalation issues should be communicated to the dedicated GSX event number for action via the Cisco’s Security Operations Center (SFOC) 1 800 206 5647 or 1 408 525 1111 and selecting the GSX option 4.
Andrew Brown will manage the overall Event Safety and Security process.

The designated Event Venue hotels (MGM Grand and Mandalay Bay) together with all hotels selected for accommodation employ trained staff that will facilitate First Aid/CPR medical care until public safety personnel arrive. In addition to existing Hotel Security, additional Security for events will be provided by contracted security and EMT trained personnel will be available where Cisco activities occur. Each designated hotel has site-specific evacuation/emergency procedures that are available for distribution upon request. Each hotel requires guest compliance regarding overall social guidelines and safety protocols. In the event an incident requires escalation to a higher level, GPS will formally activate a Local Incident Management Team (LIMT)
For all incident escalations after hours Mon – Thurs (9:00 PM- 07:00 AM) a dedicated night manager will be retained and can be contacted through the SFOC escalation number-1 800 206 5647 or 1 408 525 1111 and selecting the GSX option 4.
Medical Emergency
Action:
- During Event – Notify either the EMT directly or Contract Security for support
- At night or outside event operating hours – Hotel Security
Event Procedure:
- Security will respond immediately to requests for medical assistance by contacting the relevant EMT Operator
- Contract Security will notify GPS regarding the action taken
- First Responders on scene will make the determination if Mobile Intensive Care Unit (MICU) or Ambulance response is required
- Cisco Event personnel will report all medical emergencies directly to the EMT and in no descending order: GPS, Contract Security Control.
- Injuries / medical incidents involving Cisco Employees will be reported to Employee Relations (ER) by Global Protective Services for appropriate notification protocol
- Upon notification of a medical incident the Cisco (Employee relations) ER representative will facilitate the retrieval of emergency contact information for the person(s) requiring MICU or Ambulance service
- ER will assist the injured and/or ill individual with notification of their respective emergency contact person(s) and ensure necessary medical coverage documentation for those traveling internationally
- Andrew Brown or his designated nominee will brief Management as required regarding the incident
Cisco Employee Benefits has arranged for appropriate Emergency Medical Technicians to meet any basic medical needs that may be encountered.
Non-emergency primary medical care including but not limited to: Dehydration, blisters, falls, alcohol poisoning, general illness, sleep deprivation, jet-lag, fatigue/exhaustion, and mental stress. The clinic will also deal with any walk-in patients who have more serious conditions, such as heart concerns, severe infection, etc., by stabilizing their condition and arranging for transport to the closest medical emergency center.

Safety and Security Assistance
Onsite Action:
- Requests or Requirements for Security assistance will be communicated to Cisco Global Protective Services at 1 800 206 5647/1 408 525 1111 and selecting GSX option 4, via event radio or venue house phone
- The nearest core event team member / security officer to be informed; what /where and nature of the emergency.
- GPS Representative must be informed at the earliest opportunity.
- Venue first aiders to attend and deal until further medical assistance arrives (if necessary).
- Incident to be logged with venue security and Global Protective Services
- Whether involving undesirables, civil disturbance, etc., Mandalay Bay/MGM Hotel Security will respond immediately with Contract Security staff. Mandalay Bay/MGM Hotel Security will communicate directly with local law enforcement if the need arises. Contract security will then update Global Protective Services accordingly.

Incident Response Program (IRP)
This is the process for responding to an incident or crisis at a Cisco managed event that is likely to have a significant impact on the usual, day-to-day or on-going activities of the event or the event program.
The vast majority of issues that occur during an event on daily basis will be dealt with at a local level without the need for the wider Event Team Management to respond. However, where an incident is likely to be greater in impact or scale, the IRP enables key decision-makers and subject matter experts (SME’s) to connect ensuring a coordinated response and effective management of the incident. The IRP process can be activated in any circumstances deemed necessary, however, it is primarily aimed at incidents where there is likely to be:
- A sudden or foreseeable impact on multiple functional/business areas or on the efficient running of the event or event program that requires effective coordination (e.g. significant transport interruption, labor strike, natural disaster, flood, high winds, power outage, terrorist outrage)
- An impact on the safety of people attending the event, significant injury or loss of life
- An impact on key event stakeholders (key sponsors, exhibitors, delegates, staff) or their confidence in Cisco
- A need for coordinated communication
The local Event Crisis Management Team(ECMT) will report into Cisco’s Global Incident Management Team for all incidents that will impact Cisco on a broader scale. Andrew Brown will notify members of the Event Crisis Management Team (ECMT). The team consists of:

Emergency Evacuation Protocol
- If for any reason the facility or one part of the facility must evacuate, instructions will be announced via the facility’s public-address system (if equipped).
- Once the announcement occurs, please exit quickly but calmly following the directions of the public announcement.
- Mandalay Bay/MGM Hotel staff is trained in evacuation procedures and will escort individuals to the Assembly Area, If possible, take staff and attendee lists.
- Attendees must evacuate by following guidelines displayed at egress areas (stairwells) at the Mandalay Bay/MGM Hotel.
- Attendees should familiarize themselves with the locations of fire extinguishers, alarm hand-pull devices, the nearest emergency exit, and Automatic Defibrillators (AED) locations that are located at the Mandalay Bay/MGM Hotel.
Fire
The venue is engineered to meet or exceed fire codes and fire-fighting and monitoring equipment is located throughout the venue. Staff and delegates should familiarize themselves with the building layout, taking note of their nearest emergency exits at all times.
Action:
- Mandalay Bay/MGM Hotel staff must be contacted via 702-632-7911 or 77911 (house phone Mandalay Bay OR via 702-891-3600 or 5-3600 (house phone – MGM). Hotel staff will contact, solicit and coordinate on site public safety response. Mandalay Bay/MGM Hotel personnel will assist in the evacuation process.
Procedure:
- In the event of a fire, REMAIN CALM!
- Pull the nearest alarm device (if equipped) and make your way to the nearest exit.
- SMOKE INHALATION causes more fatalities than fire itself, so cover your nose and mouth with a wet washcloth if you need to pass through a smoke-filled area.
- DO NOT USE ELEVATORS! If filled with smoke, do not use the stairwell
- Above all – STAY CALM, DON’T PANIC, BE PREPARED, AND USE COMMON SENSE – HELP IS ON THE WAY!
Active Shooter Incident
In a situation occur where there is an armed assailant/s inside the venue;
Action:
- Do not wait for instruction - all staff and attendees should create distance as quickly as possible between themselves and the threat.
- If safe to – inform contract security/GPS immediately of the location of any suspect, what they are armed with and a brief description of what they look like (gender, ethnic appearance, height, build, estimated age, clothing, notable features).
- Where present, follow the advice of Law Enforcement personnel.

In general, follow the advice below which is based on a range of Global Law Enforcement guidelines.
Bomb Threat
Action:
- Event Staff should immediately notify Venue Security and Global Protective Services Andrew Brown if a bomb threat towards the event, venue or any individual present is received.
- Once the initial transmission is made, please refrain from using the radio
- GPS will want to establish how the threat was received and also if there is still direct contact with the person making the threat. Specific information is required from the informant for a full assessment to be completed.
- No evacuation should be commenced until an assessment by GPS in consultation with the venue has taken place and the most appropriate action decided. Depending on the circumstances, the safest action may be to remain in the premises or conduct a full, partial or phased evacuation.
- Action if the threat is received by fixed/mobile telephone:
- Stay calm and listen carefully.
- If possible/practical, keep the caller talking and alert a colleague to call Law enforcement/ GPS/ Security.
- If possible/practical take notes of the conversation and wording used, complete the Bomb Threat checklist (Appendix 2) with GPS as soon as possible.
- If displayed on the phone, note the number of the caller otherwise use automated telephone services to attempt to obtain the number once the call has ended.
- If the threat is received via text message do not reply to, forward or delete the message, note the number and inform GPS.
- Action if the threat is written i.e. note, letter, graffiti:
- Don't touch / stop others from touching the item/letter etc.
- If possible/practical move the item to a discreet location, place on a clean surface and await GPS direction
- Action if the threat is received via email or social media:
- Do not reply, forward or delete the message
- Note the sender's email address, username or ID and inform GPS
Power Failure
Action:
- In the event of a power failure, contact Mandalay Bay/MGM Hotel staff. Remain calm. Secure personal property, and keep it in close proximity during the power outage. Doors to offices where Cisco equipment and/or proprietary information reside will be secured and staffed with event personnel.
- The Mandalay Bay/MGM Hotel has emergency generators for designated lighting and power to key systems and equipment. Remain calm until power is fully restored. If requested, please evacuate the facility and follow the direction of Public Safety personnel.
Earthquake
Procedure:
- In the event of an earthquake, do not panic. Take immediate cover and:
- Stay under cover at least until the shaking has stopped, or until instructed to do otherwise by members of Mandalay Bay/MGM Hotel staff, or if announced via the public address system.
- If you choose to leave your cover, do so cautiously.

Unless you judge the circumstances to be dangerous and hazardous, remain at your location until emergency response personnel arrive.

If circumstances allow, pull the nearest fire pull station to help the emergency responders locate you.
-
Remember, in the event of an earthquake, you are generally considered to be the safest by staying indoors and waiting for the emergency responders to escort you to the nearest safe haven.

The Emergency Response Team (ERT) may request your assistance in search \& rescue, emergency first aid and other emergency assistance.

After the shaking has stopped, Mandalay Bay/MGM Hotel staff and designated emergency responders will facilitate welfare checks and will communicate additional instructions.

If an evacuation has been ordered by Mandalay Bay/MGM Hotel staff, the evacuation instruction will be broadcast through the building Emergency Public Address system. DO NOT RUN!

If ordered to evacuate, take nothing with you except items in your immediate possession. Remain outside the building until you are told it is safe to re-enter the building.

Stay away from damaged or exposed electrical power lines.
- Do not use open flames (lighters) as there is a risk of gas leakage and explosion after an earthquake.
- Be prepared for AFTERSHOCKS, which can be as devastating as the original earthquake
Extreme Weather
- In the event of extreme weather such as severe storms, Cisco attendees will take direction from resident Public Safety personnel. It is preferred to remain inside your respective facility until the weather subsides.
- Cisco core staff will work with Mandalay Bay/MGM Hotel personnel to secure office equipment and other Cisco assets in a locked facility until such time the items can be retrieved.
Lost \& Found
- Persons reporting Lost/Found items should be directed to the Information desks to file the report.
- Lost \& Found items handed to event staff are to be turned into Information Desks during the conference.
- Contract Security will report to Mark Eastus at the end of each day lost and found items.
- At times, Cisco core team personnel will facilitate retrieval and returning of lost items if the owner is determined prior to security intervention.
- At the end of the conference, Contract Security will turn in all unclaimed items to the Mandalay Bay/MGM Hotel security staff.

- Badges are required to be worn in the outermost garment at all times; no altering or sharing of badges allowed.
